WhatsApp Campaign Checklist: From Opt-In to Results

Plan a WhatsApp broadcast with a practical checklist for audience permissions, templates, testing, team handover, link tracking and campaign measurement.

Define one audience and one outcome

A WhatsApp campaign works best when recipients understand why they are hearing from you and what action to take. Pick a specific audience and outcome before writing the message. For example, invite people who requested course information to book a counseling session rather than sending the same promotion to every contact in your CRM.

Write the goal in measurable terms: bookings, qualified replies or completed purchases. Use one main call to action. Record the campaign name, audience definition, planned send time, responsible agent and destination link so the result can be reviewed later.

Check audience permission and exclusions

Use contacts with appropriate permission to receive your WhatsApp messages. Keep a record of how and when that permission was obtained, and provide a clear way to stop receiving marketing. An imported phone number alone does not establish permission. Do not use scraped or purchased lists as a shortcut to growth.

Remove duplicates, invalid numbers and contacts who opted out. Segment by relevant interests and recipient market. If the workflow is sensitive or regulated, check applicable requirements for your business before sending; this operational checklist is not a substitute for that review.

  • Document the audience source and opt-in context.
  • Exclude opted-out contacts before each send.
  • Assign a team member to process opt-out replies and update connected systems.

Prepare and test the message template

Use an approved template when required by the Business Platform. Match the template category to the actual content, and check current availability for the recipient market. Adding a promotion to an operational update can change how a message is categorized. Template approval does not guarantee delivery to every recipient.

Test all personalization fields with realistic data, including missing values. Open the destination link on a phone, check the price or booking information it shows, and confirm that the page works without a staff login. Avoid putting phone numbers, email addresses or other personal information in tracking parameters.

Example: a requested consultation follow-up

An illustrative message might say: 'Hi {{1}}, thanks for asking about {{2}}. You can choose a consultation time here: {{3}}. Reply if you need help, or reply STOP to stop updates.' Adapt the wording and category to the actual purpose and submit it for approval where required. This example is not a pre-approved Meta template.

Route replies to the team that can answer the next question. Give the agent the contact's interest and campaign context. If automation handles the first response, include a clear route to a person and test what happens when the customer asks something outside the configured flow.

Launch in a manageable batch

Send a small initial batch that your team can support. Check delivery failures, responses and account quality before expanding. Schedule around recipient timezones and agent availability, especially when the same business serves India, the UAE and the USA.

Pause and investigate unexpected failures or complaints. Increasing volume will not fix an irrelevant audience, a broken link or an incorrect template. The official API still has quality controls and restrictions; no sending tool can promise immunity from enforcement.

Measure clicks, replies and business results separately

Use unique tracked links and a consistent campaign naming convention. Review unique clicks against delivered messages, then connect qualified replies and completed outcomes to the campaign where attribution is available. A click is evidence of interest, not proof of a sale.

For an illustrative campaign with 1,000 delivered messages, 80 unique clicks and 12 bookings, the click rate is 8% and bookings per delivered message are 1.2%. If the total campaign cost is 120 in your reporting currency, cost per booking is 10. These are worked examples, not Botinx customer results.

Compare the next campaign with the previous one using the same definitions. Change one meaningful factor at a time, such as audience or offer, and record opt-outs alongside positive outcomes. Keep the lesson specific enough that the team can use it on the next launch.
